Speaking guide

How to get the best voice capture

Rules-based
  1. Confirm the selected loss. Customer, property and insurance information should already be loaded from FNOL. Only speak a correction if something changed.
  2. Announce every room before describing it. Example: “We are starting in the living room” or “Moving to the kitchen.”
  3. Say dimensions clearly. Example: “The room is twelve by sixteen.”
  4. Name the material and its condition. Example: “Carpet and pad are saturated” or “Drywall is wet.”
  5. State measurements with units. Example: “Moisture is fourteen inches up the north wall.”
  6. State classification when known. Example: “Category two, Class two.” Do not guess if unknown.
  7. Say equipment as quantity + type. Example: “Add three air movers and one dehumidifier.”
  8. Use direct corrections. Example: “Correction, make that two air movers” or “Actually, category three.”
  9. Use clear negatives. Example: “No standing water,” “No visible mold,” or “Ceiling is not affected.”
  10. End clearly. Say “I’m done,” “End scope,” or press Stop Recording.
Example flow: “We are starting in the living room. Room is twelve by sixteen. Carpet and pad are saturated. Category two. Moisture is fourteen inches up the north wall. Add three air movers and one dehumidifier. Moving to the kitchen…”
